Coordinate volunteers: an effective availability poll

Organizing a market, a festival, or a fundraiser with volunteers is above all a coordination challenge. Knowing who is available when, on which shift, and for how long — without forgetting anyone — is often the biggest hurdle. DooDates lets you create an availability poll in minutes through the AI chat, see how many volunteers are available per time slot with the Table filter, and export the data to build your teams.

In 3 steps

1

Create the time slot poll with the AI chat

Describe the event to the AI: "Christmas market, 3 days from December 15 to 17, morning slots 9am-1pm and afternoon slots 1pm-6pm". The AI automatically lists every time slot. Add the number of volunteers needed per slot in the description.

2

Set a deadline and share

Set an automatic voting deadline to close the poll before your recruitment deadline. Turn on anonymous mode if you want to keep volunteers from copying one another. Share the link by email or WhatsApp — volunteers check every slot that works for them.

3

Build the teams and export

The Table filter gives you the complete view by slot and by volunteer. Spot the understaffed slots and follow up with the volunteers available for those ranges. Export to CSV to feed the data into your coordination schedule.

Frequently asked questions

A single DooDates poll is enough: create as many time slots as you need (morning/afternoon over 3 days = 6 slots). Volunteers check every slot that works for them. The Table filter aggregates all responses and shows you the headcount available per slot.

The Table filter shows the number of volunteers available for each time slot. Understaffed slots are immediately visible. Follow up specifically with the volunteers available for those ranges through a personalized message.

From the results page, click "Export" and choose CSV. The file lists every volunteer with their availabilities per slot — ready to feed into Excel, Google Sheets, or your scheduling tool.

Create a DooDates Group with all your volunteers. For each new event, select that group with one click — every volunteer receives the poll with no manual re-entry. Edit the group if the list changes from one edition to the next.

Yes. The Engagement filter lists exactly who hasn't voted yet. Copy the poll link and send it to those people with a reminder message.
